NVMC Club Rules and Guidelines

Forum Rules

The online forum and website for the NVMC is a great way to exchange information, learn about events and activities, and communicate with fellow members. We greatly encourage members to participate in online discussions and use all of the website features. However, that doesn’t mean the forums are without a few rules and guidelines.

The Rules and Guidelines for the club are listed on this page and are accessible to anyone. We understand that, as with any forum, the NVMC forums can be an open ground for a variety of topics and content. We try not to be heavy-handed in our control of the chaos, but in order to keep things safe and relatively clean, we must be strict about the rules we impose. That said, the NVMC staff is frequently on the forums and website, and will not hesitate to reprimand users, delete posts, move posts, censor content, remove content, suspend or ban users, and so forth. The NVMC staff is always required to provide explanation for their activities in the forum and website. If you have been the target of administrative action, please look for a note or post in the forum, a Private Message, or an email, explaining the fault and situation. You are always welcome to question an administrative action, but the rulings of the NVMC staff are often final, especially when there has been a blatant violation of a rule.

  1. No profanity or sexual language on the forum. The NVMC is a family-oriented club. Therefore we respectfully request that members keep their discussions and outbursts at levels appropriately controlled. It’s okay to have a little fun with the euphemisms, but try to keep things civil and clean. Do not attempt to bypass the forum filters or “sneak” profanity past by inserting special characters or using phonetic spellings (i.e. – phat vs fat).
  1. No racist, sexist, or discriminatory posts on the forums. Insults and/or personal attacks will not be tolerated.

3.      The NVMC will not get involved in or host, any law, anti-law, or political petitions. The forum is not a venue for questioning, attacking, or complaining about the law(s) be they federal, state, or local.

  1. No spamming. Multiple posts for the same topic across multiple sections of the forum are not allowed if it starts to become confusing. Pick a thread topic and stay there.

5.      The creation of alternate or secondary accounts is not permitted.

  1. The NVMC forum cannot be used for the sale, trade or exchange of regulated items.
  2. Firearms: As a private club we reserve the right to respectfully request that members and guests attending our events keep firearms out of sight, in their vehicles, and preferably at-home. We have to work very hard to fight off the conceptions of “car gangs” and such. When new members come, especially with families, and they see members walking around with guns on their hips, etc, it can send the wrong message. We hope people can understand this concern. Like it or not, agree with it or not, the words of one concerned citizen travels fast and gets distorted fast, just like any rumor. We’d rather not have any more opportunities to be misinterpreted than we already have.
  3. If you have an issue with something, bring it up to the NVMC staff. We won’t tolerate people bending the rules, testing what’s allowed and what isn’t, or trying to provoke reactions by blatantly breaking the rules. Do not post things that you know will get deleted, simply to cause problems. This is seen as a conscious attempt to break the rules, create problems and at the least generates spam. Members who practice this sort of thing will quickly find their accounts suspended or banned. If you have an objection to something that the NVMC staff has done, such as deleted your post or moved it, please bring it to the attention of the NVMC staff through a PM or email. DO NOT repeat the post or ask why the action was done in the thread of the forum. Often times there are reasons why something has been changed, just ask!

Supporter posting

i.            Our sponsors are more than welcome to post threads to promote specials, show off their latest work, or news about an upcoming event they’re hosting. Please leave these topics to our sponsors, though. This avoids confusion and false-statements.

ii.            Handle any supporter issues between the supporter and the NVMC staff.

Non-Supporter Posting

i.            While the NVMC does not mandate that any member go to a specific shop or vendor, we are supported by a number of reputable shops and vendors, and as part of our agreement with them, we promise promotion of club supporters. Therefore we will recommend shops and vendors that are supporters, but also attempt to maintain that they have exclusive promotion. Non-supporter shops and vendors are not allowed to promote in the forums, but are welcome to join and be involved in topics on the NVMC forums.

ii.            We do not allow members to post advertisements or promotions for non-supporters on the forums.

iii.            If you have a recommendation to another member for a non-supporter shop or venue, please suggest this in a PM or email.

iv.            Some supporters have affiliate partners and or subcontractors that do work for them. While the primary supporter is allowed to post, we do not have an agreement with the affiliate partner and therefore they are not allowed to post, and members and supporters are not allowed to promote them.

v.            Supporters are allowed to mention their affiliate shops in their own posts as part of promoting their own services (i.e. – “Our shop is now a vendor for JLT intakes!”) however JLT cannot post their own threads, and supporters simply can’t act as a proxy for advertisements that are direct from a non-supporter.

vi.            Global brands and manufacturing companies that are non-supporters are permitted to be mentioned on the forums as long as it is not in a manner that is undermining the business of one of our supporters. If a post is questionable the moderation staff does reserve the right to remove this post.

vii.            If you are a non-supporter or have had work done by a non-supporter, and you want to see about making them a supporter, please contact the NVMC staff.

viii.            Remember, this is a private forum, not a public forum. We rely on our sponsorships to keep things going. While the topic is not always cut-n-dry, please be mindful that we cannot allow the advertisement or promotion of non-supporters, when we are being supporting by paying sponsors.

  1. Please do not post complaints/errors/bugs concerning the website or forum functionality in the general sections of the forum.
  2. Please keep posts on topic, if not they will be moved.
  3. Please avoid posting things which destroy the formatting/layout of the forum.
    1. Posting very large images and such. As a rule of thumb, try to keep images posted in threads to under 600px wide. If your pictures are larger, post a link instead or use the forum tools to link to images hosted in the gallery or other sites (Flickr, ShutterBug, etc). The NVMC forum supports many kinds of forum-code sets which allow linking and embedding content into threads.
    2. If you are posting your own images, a better method would be to post a link to your images from an image hosting site. We highly recommend Flickr.com, which has the ability to integrate into our forums, giving viewers a much better experience when looking at your images.
  1. Please keep forum signatures within the guidelines.
    1. The signature guidelines will appear in a separate section of the forum.
    2. We ask that signatures be kept within the limits in order to keep the forums easy to read, avoid altering layouts, and cut down on unnecessary bandwidth.
    3. If we see a signature that’s out of line, we’ll first PM the member to correct the problem. If the member fails to comply after a second warning, the signature will be removed. We hate to be heavy-handed like this, but we do try to make every available compromise.

Membership in the Northern Virginia Mustang Club is a privilege and a responsibility. Members should behave in a manner that reflects well upon the values and rules of the club, and the club as a whole, even when not at a club sponsored event. As a privilege, like any other privilege it can be revoked or denied. If it comes to the attention of the NVMC Staff that any member, including staff, is behaving in a manner that is detrimental to the club, its membership or standing in community, be it public or private, then the Executive officers of the club reserve the right to revoke or deny membership in the club, in order to protect the club and its general membership. These matters are not taken lightly and are reviewed on a case by case basis. All attempts will be made to resolve matters prior to revocation of membership. Be aware that the NVMC regards violations of Federal, State and/or Local Laws as very serious matters, and reserves the right to immediately suspend or revoke membership, in order to protect the NVMC club and its standing in the community.

Please be mindful that NVMC club members are ambassadors of the club wherever they go. We hope everyone will make all efforts to have fun and safe interactions with the community and always be mindful of how their actions reflect upon the club.

These rules and guidelines are subject to change as needs and issues evolve.

NVMC Event Rules

Events Rules

While participating in NVMC cruises, races, or other events that involve coordinating vehicles, there are some rules and guidelines that apply in order to provide the best experience and safety possible. Let’s make no fuzzy lines on this, these are not toys and serious injury and/or death is always possible. We cannot, in good practice, be anything but strict on these matters! Failure to comply with NVMC rules during these events will be handled with the utmost seriousness. This is not a joking matter! We will not hesitate to remove people from an event and/or ban them from the club!

Please remember that these rules and guidelines are in addition to the standard rules and regulations of the road. You will never be required by a cruise director or NVMC staff member to do anything that violates the law. Our motto for these events is that you are a driver first, a club-member second. Please use your best judgment and common-sense when participating in cruise and racing events, and if you have ANY objections or concerns about ANY part of an event, please bring these to our attention immediately! We do our best to accommodate inexperienced drivers, new members, etc, but at the end of the day it is you, and you alone, who are responsible for yourself. That said, if you cause an accident or gain the attention of the authorities during a club event, we will address the issue as needed, but you are ultimately responsible for yourself.

  1. Obey the staff and cruise directors, club rules and posted laws at all times!

The laws of the jurisdiction which you are driving thru, directions of the cruise staff, club staff, and venue staff, supersede all in that order. There’ll be time for discussion later, but as most directions are for safety concern and organization (which is also part of safety) just pay attention and try not to cause waves.

  1. The roadway rules supersede the cruise always.  You are responsible for you.
    1. While we all hate it when people cut into our lines, the simple truth is that the roadway is open to everyone and we have no private access to it. Blocking people from merging is a useful tactic to keep the line together, but it cannot put safety at risk! Drivers need to be able to go where they need to go.
    2. The police can and will shut us down if they believe we are creating a problem on the highway. Everyone should have a destination map and a cell-phone. If you get separated or have to let a semi in, don’t panic or break the law.
    3. It is very easy for cruises to get a little high in speed. While our cruise directors try their best to keep a handle on it, it does happen. You are not obligated to break the speed limit just because the cruise director has gone a little fast. Remember, you are responsible for yourself, and if you get pulled over, it’s no one else’s fault but your own. Slow down, we’ll see it and make corrections.
  1. Cruises and races have special formats. Please be aware of these.
    1. Cruises are usually structured with a lead car, a tail car, and a middle car. This allows us to keep control of the group, notify directors that all cars have made it through lights or exits, and watch for problems. Please be mindful of the structure of the cruise. Do not get ahead of the lead car, or move behind the tail car, without being told to do so or providing a clear indication of intent. The structure of the cruise is part of how we keep everyone safe, so we rely on people following the structure.   There will always be a driver’s meeting held by the cruise director before we hit the road.
    2. At a racing event, race coordinators and NVMC staff will provide the format to racers of how the event will be conducted, the order of vehicles, etc. This can be as simple as how cars will queue up for the drag strip, how they will enter a track, pit directions, and more. Again, the structure is part of how we keep everyone safe, so we rely on people following the structure.

  1. Please be on-time for event departures.
    1. Many of our events require us to keep to a tight schedule in order to make a timely arrival and we cannot afford to wait for people. If you are unsure of a departure time, or are delayed and need to join up with us down the road, please call, text or email the event coordinator.
    2. This includes being prepared for departure. Arriving on time to leave and needing to rearrange gear, buy coffee or gas, or empty the tank, are not excuses. Usually we can accommodate a couple minutes, but if the club needs to roll, you will be left behind. Respectfully.
  2. Be prepared.
    1. The NVMC staff tries to get materials out for cruise and race events prior to the day of the event, but this is not always possible. We will, however, frequently post the destination address and suitable details on the forum.
    2. Usually directions are made available to attending members on the day of the event, in case anyone gets lost.
    3. A GPS capable device, mobile device with maps, or a good old map-book, is highly recommended. If for any reason you get separated from the group (easily done on major highways) or have to stop, you’ll be able to make your own way to the next waypoint.
    4. It is always a good idea to keep some water, a hat, sunscreen, bug-spray, a first-aid kit, and some basic tools in your call at all times. On most events, especially race-related events, members will bring tool-sets to help with basic repairs as needed, but do not rely on this.

  1. Communication is good.
    1. The club uses FRS radios to attempt to keep in touch with members during cruises. Members are encouraged to bring their own radios and tune in to the cruise channel.
    2. Under certain circumstances we may request that members who are not leading the cruise remain off the channel (ie – listening only) to avoid cross-chatter amongst the point cars.
    3. Sometimes there are loaner radios available, but this is never a guarantee. If you take a loaner radio, you are responsible for returning it.
  1. Know the plan (Driver’s Meeting)
    1. We always go over the route and day’s activities before departure, but if you miss or do not understand any part of that, please ask!
    2. The cruise directors usually have done a dry-run of the route beforehand and will point out any potential problems along the way (such as construction intersections, odd exits, short lights, speed zones, etc).
  1. Safety, Safety, Safety
    1. Whether the event is a cruise or a race, safety is number one!
    2. Safety rules provided by the club and destination venue are in effect at all times and will be enforced.
    3. While we hate to do so, if there is a safety rule enforcement that will end a driver’s day (such as a vehicle performing in a stricter safety bracket at the track) the club and driver will have no choice but to comply with the rules. This means that even if it is your first run of the day on the track, we will have no choice but to suspend you from the event until you can comply with the requirements. (Sometimes this is as simple as borrowing a helmet or re-tuning the car to run slower, but not always.)
    4. If we see members behaving in an unsafe manner during cruises or at racing events, we will take action to resolve the problem. This may be as simple as a verbal warning or suggestion, or may escalate to suspension from the event or an outright ban. We cannot stress safety enough!
  1. You are responsible for you.
    1. If you cause a violation or trouble during an event, you are responsible for your own actions.
    2. If other people are causing a problem, you are responsible for your own actions. Bring the matter to the attention of the staff, safely, and then do what you need to do to remain safe. If this means backing off or exiting the cruise all together, or not participating in a race, we would prefer that you do so rather than risk a more serious incident.
    3. The NVMC staff can be a fount of information and advice, but ultimately you are the one behind the wheel. We cannot drive the vehicle for you.

Food at Events

Many NVMC events involve food, whether provided by us or available during an event. Not a whole lot of rules and regulations here, but we would like to put a few things out.

  1. Special Requests and Dietary Needs

The club and staff will try to make every reasonable effort to facilitate the needs and/or requests of members regarding food served or available during events. If an event includes a stop at a particular restaurant or venue serving food, obviously the choices will be limited to those served by said facility. If it is an event where food is provided by the club, we will attempt to accommodate most dietary requests (i.e. – low sodium, diabetic, vegetarian, etc) however, these cannot be guaranteed. Please understand that if you have special dietary needs, it is something that falls upon your shoulders to provide. If you cannot consume the food that is provided, please make plans or contact one of the staff who can try to help facilitate your needs prior to event day. (i.e. – Shellfish allergy on crab cake cruise)

  1. If you have a severe food-related allergy, let us know.
    1. This is your responsibility, not ours. While we do try to be accommodating, if you don’t let us know, we can’t help you. We won’t go asking everyone, either. We’re all adults here, raise your hand and tend to self-preservation.
    2. If you accidentally eat something you shouldn’t have, and it’s going to seriously affect your ability to drive or otherwise function, please let us know. Accidents happen, no one needs to have a disaster because you found out the cookies you ate had raisins in them and you pass out at the wheel.

3.      Although not often, the club does sometimes hold events in locations where the host or the property itself has a religious or personal exception to a type of food. Under no circumstances will we violate this request! We are guests of the host and/or venue and if you cannot be accommodating, don’t come.

  1. Please always clean up after yourselves.

The club has always maintained a policy of leaving an area in better condition than we found it.

2.      Dining with the club.

    1. Generally the NVMC staff will try to organize some kind of group meal after every meeting, especially during the colder months as people prefer to be indoors rather than outside.
    2. If you have a specific request or desire to go to a certain establishment, please make this known at the beginning of events and meetings, so that we can coordinate with the club.

Show Events

Show Events for the Northern Virginia Mustang Club are many and varied. Sometimes it is the NVMC hosting the show, other times we are invited to run shows, and of course we also simply attend shows.

  1. The NVMC is NOT responsible for damages caused during show events.
    1. While we try to make every effort to keep people and their vehicles safe from scratches, dings, etc, we can’t guarantee against accidents. The NVMC will assist with ensuring safety and mediation following an event, but we are not responsible for the damages, fixes, legal activities, etc.
    2. We’re adults here. You break it, you fix it.
  2. The NVMC reserves the right to arrange, accept-entry and deny-entry to any vehicle, guest or participant.
    1. Registration for a show event does not guarantee entry, nor does it guarantee placement in ideal locations. The NVMC may deny entry to any vehicle or participant at any time.
    2. In shows where the NVMC is either running, or hosting the event, we reserve the right to arrange the layout of vehicles, parking, etc.
    3. Priority is given to NVMC members with Mustangs. While we recognize and appreciate involvement by members from other clubs, the NVMC is primarily a club for the appreciation, use and ownership of Ford Mustangs. As such those vehicles will be given first priority in placement at show events.
    4. Frequently the NVMC makes exceptions for non-Mustang vehicles due to affiliation with the club, friends of members, etc. We’ve rarely had reason to regret this, but even so, any and all exceptions MUST be approved by the NVMC staff prior to entry into a show.
  1. Awards, Judgments and Trophies
    1. Shows frequently come with awards and prizes and trophies and such. There’s no guarantee everyone will get something, but we hope everyone has fun nonetheless.
    2. If you have a complaint, acknowledgement, or other concern, please bring it directly to the NVMC staff.
    3. Special awards are welcome. If you have or know of a special award that can be presented at a show event, please let the NVMC staff know and we will try to work it into the award ceremony.

  1. Please be punctual.
    1. If you show up late, we can’t guarantee there’ll be a spot for you in the show. Some of our shows are VERY crowded.
    2. As stated above, registration for an event is not a guarantee that you’ll get a spot. We usually know how many spots are available, and plan the registrations accordingly. However, if we run over and you are late, your spot may be filled when you get here. We’ll do everything we can to accommodate, within reason.
    3. Many venues where we hold shows do not allow vehicles and guests to arrive before a certain time. Please be mindful of the show times and ask for suggested arrival times if not stated by the NVMC staff or venue. If you show up early and are asked to remain outside the gates or to circle around, please comply and wait until the event opens.
    4. You can always phone, text or email show coordinators if you’re having a problem getting to the show. Often times if you’re running a few minutes late we can cone a spot for you and/or fill you in on details.
  1. Don’t forget your creature comforts!
    1. Chairs, umbrellas, water, snacks – they’re all welcome within the guidelines of said event.
    2. Sometimes tents/canopies are allowed, but please contact the NVMC staff to make sure.
    3. Make sure you label your stuff. It’s pretty common to move chairs and things around, so having labels on them helps keep things from getting mixed up.

Thank you for reading the club Rules and Guidelines. We hope this has helped make your experience in our club and online-forums more enjoyable. If you have any questions/comments, please contact us at info@northernvirginiamustangclub.com

These rules and guidelines are subject to change as needs and issues evolve. We will try to post any changes in a timely manner, but always follow the direction of NVMC Staff as any change may be immediate.
